This article steps super administrators from the Adler University Finance team through the process of accessing an upcoming fiscal year budget's GL Line items for edit via the Colleague UI.
1. Log into the Colleague UI using the link found here.
2. Visit the BAAS: Budget Alias Assignment screen and enter the upcoming Fiscal Year's Budget ID into the field displayed into the pop-up window that shows, as shown in the screenshot below.
3. Add a value of A - Assign into the 'Assign or Reinitialize' field in the center of the BAAS page, as shown in the screenshot below:
3. In the 'Alias will represent Budget Officer' field, type '...' (without the quotation marks' followed by the tab button on your keyboard to see the branches of the chosen Budget's responsibility tree to which you have been granted edit access as a super admin. Double-click the departmental branch option that you'd like to view GL objects for via the RWLI screen.
4. Choose the 'Update' option in the pop-up window that is presented, as shown in the screenshot below:
5. Next, visit the RWLI: Responsibility Worksheet Line screen in the Colleague UI.
6. You should now have visibility on those GL account lines that belong to the departmental branch of the chosen responsibility tree, as entered in the prior step.
7. Additionally, to view 'Justification Notes', as entered by the ground-level budget manager, click the sheet of paper icon/button to the right of the any field in the line for your target GL Line account.
8. Next, you'll see a pop-up window that gives you the option to view justification notes via the 'BJNS - Justification Notes/Scenarios' screen. Chose that option via double left-click of your mouse.
9. Choose 'Cancel', not 'Cancel All', to return to the previous/main page of RWLI.
